The Role

We are looking for a highly organised, resourceful, and proactive Office Manager to serve as the operational backbone of our organisation. Reporting to the Operations Deputy Director and the Executive Director, you will oversee daily operations across our centres, coordinate HR and administrative processes and play a hands-on role in delivering projects. This is a varied and senior-facing role suited to someone who thrives on keeping organisations running smoothly.

What You Will Do

Your day-to-day responsibilities will include:

  • Oversee day-to-day operations of our centres, including facilities, suppliers and service providers
  • Manage HR processes such as recruitment coordination, onboarding, contracts, leaves and visas
  • Supervise, recruit and schedule plannings of reception teams (student affairs assistants) and insure their continuous training on tools and procedures, in liaison with the Operations Deputy Director
  • Provide support to the Executive Director, including diary management, correspondence, meeting preparation and internal communications


Beyond daily operations, you will periodically conduct the following tasks:

  • Prepare documentation and coordination of board meetings and annual general meetings
  • Liaise with external entities such as government bodies (Education Bureau, Immigration Department) and partners on behalf of the organisation as needed
  • Support strategic projects such as funding applications, partnerships and development
  • Formulate and implement administration or operations policies and  procedures if needed 
  • Support cultural events and logistics, with occasional evening and weekend attendance
  • Support planning of staff business travels, transportation/hotel booking and related  insurance  

 

What We Are Looking For

  • A minimum of 3 years' experience in operations, office management, executive support, or a generalist role combining these functions
  • Strong organisational skills with the ability to manage competing priorities and meet deadlines without close supervision
  • Professional proficiency in English and Cantonese is essential; French proficiency is a strong advantage
  • Familiarity with HR administration and Hong Kong employment legislation is desirable
  • Confidence engaging with senior stakeholders, discretion and sound judgement in handling confidential information
  • Genuine interest in education, culture or the non-profit sector

Practical Details

  • Location: Wanchai centre, with occasional presence at Jordan and Shatin centres
  • Hours: Monday–Friday, 9:30–18:00, with occasional weekend/evening attendance for events
  • Contract: Permanent, subject to a 3-month probationary period
  • Start date: As soon as possible
